New England Life Care currently has an opening for a Hybrid Human Resources Coordinator. This is a full-time, hourly, non-exempt position. The normal working hours will be Monday – Friday from 8:00am until 5:00pm, but an alternate schedule is possible. Due to the nature of HR and need to be visible in the office, the person filling this position must be available to travel to at least one of the branch locations when needed. 

 

              Although this has the potential to be a remote position, we are only hiring in the following states: Massachusetts, New Hampshire, and Maine.

 

Job Summary: The Human Resources Coordinator completes clerical duties for the organization’s HR department. This position has an active role in ensuring all HR functions are complying with local, state, and federal regulations.

Responsibilities:

  • Sets up and maintains current and terminated employee HR records according to state, federal and company regulations.
  • Completes Forms I-9, verifies I-9 documentation and maintains I-9 files.
  • Assists with processing of terminations of employees.
  • Makes photocopies; mails, scans, and emails documents; and performs other clerical functions.
  • Answer’s routine inquiries from inside and outside the organization re: employment, missing documents, HealthStream and ADP.
  • Files documents into appropriate employee files.
  • Prepares new employee files.
  • Conducts audits of employee files ensuring completion of all required documentation for employment.
  • Provides ongoing support to managers and staff related to HR general questions.
  • Provides managers with regular status reports, such as monthly performance appraisals due, staff license/certification updates, etc. (missing docs report)
  • Documents conversations with employees as necessary.
  • Works collaboratively with the finance department to provide and maintain accurate employee information in the HRIS system.
  • Maintains branch and corporate bulletin boards according to state and federal posting regulations.
  • Assists with employee onboarding experience during the first 90 days.
  • Conducts Ergo assessments for employees who inquire.
  • HealthStream Guru – uploads and assigns course to employees.
  • Assists in HR initiatives, I.e., Doc Mgmt. and Applicant Tracking System in ADP.

 

Requirements:

  • Associate degree required; 4-year degree preferred.
  • 3-5 years of HR experience, preferably in healthcare. 
  • Microsoft Office suite proficiency 
  • High regard for confidentiality. 
  • Expert with computer systems and applications including Microsoft Word and Excel 
  • Current driver’s license and clean driving record required.

 

 Preferred Experience:

  • Exposure to benefits administration 
  • Proficiency with ADP, or similar employee tracking system 
  • aPHR, PHR, or Lean certification.
  • Knowledge of HIPAA Privacy and Security regulations preferred.
