DescriptionPOSITION SUMMARY
The HR Coordinator / Leave Administrator is responsible for the administration of employee leave programs, including FMLA, ADA short-term disability, and other leaves of absence, as well as supporting ADA accommodation processes. This role provides critical administrative and operational support to the Human Resources function, including personnel records management, recruitment support, and HRIS-related activities. The position ensures compliance with applicable laws, regulations, and company policies while delivering timely and professional service to employees and internal stakeholders. A high degree of confidentiality, accuracy, and sound judgment is essential in this role.
KEY RESPONSIBILITIES
Leave & Benefits Administration
- Administer employee leave programs, including FMLA, short-term disability, and other applicable leave policies
- Serve as the primary point of contact for leave-related inquiries, ensuring timely, accurate, and professional communication
- Coordinate with third-party administrators and internal stakeholders to track and manage leave cases
- Maintain accurate documentation and ensure compliance with federal, state, and company requirements
ADA Accommodations
- Administer ADA accommodation requests, including documentation, tracking, and coordination with employees and management
- Facilitate and document the interactive process in accordance with legal requirements and company policy
- Maintain confidential accommodation records in compliance with applicable regulations
Recruitment Support
- Conduct and document pre-employment reference checks
- Provide administrative support throughout the recruitment and hiring process, as needed
HR Administration & Compliance
- Maintain employee personnel files, ensuring accuracy, completeness, and compliance with established recordkeeping standards
- Process and file documentation received from departments in a timely and accurate manner
- Track and maintain required employee acknowledgements, including handbook and facility-related documentation
- Support internal and external audits and ensure adherence to record retention requirements
HRIS & Systems Support
- Prepare and submit IT tickets for employee lifecycle changes, including new hires, terminations, and position updates
- Provide first-level HRIS support and troubleshooting; escalate issues as appropriate
- Assist in maintaining data integrity across HR systems
General Administrative Support
- Provide administrative support to the HR team, including scheduling, reporting, and correspondence
- Serve as backup support for reception functions, including greeting visitors and managing incoming communications, as needed
- Participate in HR projects and perform additional duties as assigned
QualificationsQUALIFICATIONS
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred
- 2–4 years of relevant HR administration or related experience
- Working knowledge of FMLA, ADA, and leave administration processes, including short-term disability programs
- Strong organizational and time management skills with a high level of attention to detail
- Demonstrated ability to handle sensitive and confidential information with discretion and sound judgment
- Strong written and verbal communication skills
- Proficiency in HRIS platforms and Microsoft Office applications
Preferred Qualifications
- Experience administering leave programs
- Familiarity with multi-state employment practices and compliance requirements
- Professional HR certification (e.g., SHRM-CP or PHR) a plus
