Job Summary: Provides administrative and operational support to the Human Resources Department, assisting with a variety of tasks while also supporting HR processes. This role helps administer employee benefits, supports HR policies and compliance, and serves as a point of contact for employees on general HR inquiries. The position requires a balance of administrative accuracy, knowledge of HR practices, and the ability to support initiatives that enhance the employee experience.
Essential Duties and Responsibilities:
• Manages completion of onboarding activities for new hires, including paperwork, orientation, and assistance with benefits enrollment.
• Supports new hire integration by managing first-day logistics and orientation.
• Coordinates post-onboarding follow-up, ensuring all administrative tasks are completed.
• Co-facilitates benefits orientation sessions during onboarding, alternating presentation responsibilities to educate new hires on available benefits.
• Assists with the uniform process with new hires and annual allowances.
• Performs year-end benefits reconciliation to ensure accurate reporting and documentation of employee benefits.
• Monitors deadlines for benefits submissions and follows up with employees to ensure compliance.
• Assists with maintenance and upkeep of personnel files including MedTrainer.
• Reviews documentation related to insurance discount comparability assessments.
• Review payroll reports and documentation to ensure accuracy and compliance.
• Assists with Family Medical Leave and Leave of Absence processes.
• Handles HR office communications, including mail and inter-office messages, to support efficient departmental operations.
• Responsible for scanning and maintaining employee documents within electronic personnel files, ensuring confidentiality and organization.
• Provides general support to Human Resources
• Other duties as assigned.
Education and/or Work Experience Requirements:
• Bachelor’s in Human Resources, Business or Health Administration or equivalent experience is required.
• 1–2 years of HR support experience or internships or practicum experience in HR preferred
• Knowledge of federal/state employment laws (FLSA, FMLA, ADA, Title VII, etc.)
• Strong communication and relationship-building skills
• High confidentiality and professionalism
• Ability to manage multiple priorities in a fast-paced environment
Physical Requirements/Working Conditions:
• Work is sedentary in nature; however, the ability to stand and/or walk for periods of one hour intervals; stooping, bending, reaching, lifting approximately 25 pounds is required.
• Conveys a professional and positive image and attitude regarding the organization.
• Develops good rapport with staff.
