Role Overview

The HR Specialist is responsible for delivering a seamless and efficient onboarding experience across a multi-unit, multi-brand organization. This role serves as a critical connector between new hires, HR, and field operations, ensuring every employee is set up for success from day one.

In addition to owning onboarding execution, this role supports core HR operations including data management, compliance, and systems administration. The ideal candidate is highly organized, detail-oriented, and passionate about creating a welcoming and operationally sound employee experience at scale.

Key Responsibilities

Onboarding & New Hire Experience (Primary Focus)

  • Own system onboarding process for all new hires across multiple brands and locations
  • Coordinate and track pre-employment requirements including background checks, I-9s, and new hire documentation
  • Ensure timely and accurate entry of new hires into HRIS and payroll systems
  • Facilitate new hire communications, ensuring a clear, consistent, and engaging experience
  • Partner with hiring managers and field leaders to ensure readiness for new hires (systems access, scheduling, first-day experience)
  • Monitor onboarding completion rates and proactively resolve gaps or delays
  • Continuously improve onboarding processes to enhance efficiency and employee experience

HR Operations Support

  • Maintain accurate employee records and ensure data integrity across HR systems
  • Support payroll processes through accurate data entry and auditing of employee information
  • Assist with benefits enrollment administration and employee inquiries
  • Ensure compliance with federal, state, and local employment requirements (including proper documentation and recordkeeping)
  • Support audits and reporting requests as needed

Employee Support & Communication

  • Serve as a point of contact for new hires and employees for HR-related questions
  • Provide timely, professional support and escalate issues as appropriate
  • Reinforce company policies, procedures, and brand standards through onboarding and ongoing communication

Process Improvement & Coordination

  • Identify opportunities to streamline onboarding and HR operational workflows
  • Support implementation and optimization of HR systems and tools
  • Partner cross-functionally with Talent Acquisition, Payroll, and field operations to ensure alignment and execution

  • New hires have a smooth, organized, and welcoming onboarding experience
  • High accuracy and timeliness in employee data and documentation
  • Strong onboarding completion rates with minimal follow-up required

Qualifications

Qualifications

  • 2–5 years of experience in HR, HR operations, or onboarding-focused roles
  • Strong attention to detail and ability to manage high-volume, transactional work with accuracy
  • Experience working in HRIS systems and onboarding platforms
  • Solid understanding of new hire compliance requirements (I-9, E-Verify, etc.)
  • Excellent organizational and time management skills
  • Strong communication skills with a customer-service mindset
  • Ability to work in a fast-paced, multi-unit or distributed environment
