Job Title: HR Specialist

Position Summary

The HR Specialist is responsible for aspects of the employment process including recruitment activities, posting ads/positions, application and application review, interviewing, reference checks, and pre-screening processes.  Maintains new hire/applicant records. Responsible for providing Orientation and initial mandatory education and attends/coordinates recruitment activities. 

 

General Duties, Tasks and Responsibilities

  • Maintains complete and accurate messages from staff, customers and visitors; handles inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
  • Coordinates job postings, applications, and advertising processes; coordinates and assists in interview processes; extends offers of employment to successful candidates and ensures follow up communication to all other candidates are completed in a timely manner.
  • Maintains applications, career sites, and forms as appropriate; ensures employment postings are accurate, up to date and in compliance with all laws and regulations.
  • Participates in recruitment activities and events.  
  • Collaborates with Employee Health to ensure new employee health requirements are cleared.  
  • Conducts required checks for new employees and ensures all employment items are cleared and necessary processes are completed (includes background checks, I-9, etc.).  Obtains initial OIG check and then provides information to Compliance for new hires and drivers license information for appropriate positions driving CMH vehicles to Maintenance.
  • Responsible for overseeing the coordination of planning and participating in the orientation of new employees; works collaboratively with interdisciplinary team members to schedule orientation programs that support the mission and culture of the hospital.
  • Works with department leaders to coordinate contract staffing and students as appropriate; maintains and tracks student and contract files for compliance with terms. Coordinates with Clinical Educator to orient clinical and observation students and credentialing staff for current orientation programs as appropriate.
  • Understands benefit offerings and how to process initial enrollments for new hires.   
  • Maintains the initial mandatory education system through best practices to ensure up-to-date and offerings meet requirements.  Reviews, tracks, documents and files compliance of employees with organizational initial mandatory educational program upon orientation. 
  • Ensures employees initial job licensure per position requirement is active and in good standing through primary source verification, records and files; Tracks and ensures non-provider contract staff initial and renewal licensures are on file as appropriate per positions requirements.   
  • Inputs data into Human Resources Information System (HRIS); ensures accuracy in data entry; tracks and records HR-related items for reporting purposes.
  • Serves as back-up to the HR Assistant and works in coordination with the HR Generalist.  
  • Creates and maintains appropriate records, files and/or logs; files materials appropriately in a timely manner; audits systems for accuracy; summarizes requested data for reporting purposes.
  • Ensures plan provisions are followed; reviews and ensures policies, procedures and forms are in accordance to maintain compliance; maintains required employment postings.  
  • Maintains compliance with federal, state and local laws and regulations, accreditation standards, and recommended best practices,.
  • Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
  • Maintains the integrity and confidentiality of human resource files, records, data and activities.
  • Complies with all established safety procedures to ensure a safe environment for patients, visitors and staff.
  • Participates in performance improvement activities.
  • Performs other duties as assigned.

Education Requirements

  • Bachelor's Degree in Business, preferably in HR or an equivalent combination of education experience required
  • Professional HR certification HRCI/SHRM preferred

Experience Requirements

  • Human Resources minimum 2 years preferred

 

Computer Skills

  • Experience utilizing social media for business
  • Strong computer skills including Microsoft Word, Excel, PowerPoint and Outlook
