GENERAL PURPOSE
The Human Resources (HR) Assistant supports the HR department with administrative and clerical duties, helping to ensure efficient and smooth HR operations. The HR Assistant is a key team member who helps keep the HR function organized, responsive, and compliant while exhibiting exemplary customer service to support the mission and vision of Fresno’s Chaffee Zoo Corporation (FCZC).
Full-Time employees receive our comprehensive compensation package which includes 100% employer paid Medical/Dental/Vision, Employee Assistance Program, 401k, 10 Paid Holidays, Paid Sick and Paid Vacation time on an accrued basis. The pay range for this position is $18.53 - $20.48 per hour. Offers will be based on the successful candidate's experience
ESSENTIAL ACCOUNTABILITIES
HR Administrative Support
• Provide day-to-day administrative support to the HR team.
• Accurately prepare HR-related documents including letters, forms, and reports.
• Organize and maintain employee files, both electronic and physical, ensuring confidentiality and compliance.
• Order HR and Zooplex supplies.
• Assist with planning and executing employee events and recognition programs.
• Mail packets and HR correspondence promptly ensuring compliance with CA employment law.
• Maintain the employee uniform program by receiving orders, distributing items, ensuring accurate payments if applicable, tracking and maintaining orders and inventory, and following the company’s uniform distribution policy and guidelines.
• Maintains employee confidence and protects the organization by ensuring personnel data and all other employment-related documents and information are secured. Handles confidential and sensitive information with discretion and professionalism.
Employee Records & Data Entry:
• Under the direction of the HR management team, enter and update employee information in HRIS systems with a high level of accuracy.
• Support the HR team by assisting with employee training records and support tracking of required or recurring training programs (e.g., safety, compliance,).
• Assist with compiling and reporting HR data such as headcounts, absenteeism, and turnover.
• Assist with FCZC’s approved driver’s list and processes driver-related documents in the HRIS system.
Recruitment Support:
• Schedule interviews and communicate with candidates as directed.
• Assist in preparing interview materials and follow-up communications.
Onboarding & Offboarding:
• Prepare new hire packets and support onboarding sessions.
• Assist with orientation logistics and setup (e.g., ID badges, workspace coordination).
• Support offboarding by preparing termination checklists and collecting company property.
• Serve as the liaison between Finance and HR to obtain separation documents.
Employee Communication & Support:
• Direct all employee inquiries to the appropriate HR staff.
• Assist with internal communication initiatives such as event announcements or newsletters.
• Responsible for the laptop checkout for employees as well as assisting with setting up laptops for new hire orientation.
Benefits Administration Support:
• Help distribute and collect benefits forms and documentation.
• Support annual open enrollment processes.
• Maintain benefit enrollment records and assist with related data entry.
HR Departmental Expectations
• Support the HR management team in driving company-wide HR projects including culture initiatives, organizational design, and change management.
• Cultivates confidence and establishes effective collaboration with the
HR management team. Effectively communicates with the HR management team on the status of ongoing responsibilities and projects. Prioritizes projects and work duties depending on the needs of the department, the organization, and other stakeholders.
• Identifies inefficiencies and provides process improvement recommendations to improve organization effectiveness.
• Ensures all verbal and written communication is professional and free from grammatical and spelling errors with an emphasis on positive and customer service-oriented interactions.
• Serves as a department role model regarding customer service and responsiveness, confidentiality, quality, and accuracy of work and exhibits the highest level of professional ethics and integrity in all interactions within the HR department as well as with internal and external stakeholders.
• Balances ongoing workload as well as incoming requests to ensure the Human Resources department remains a reliable resource for all stakeholders. Works independently and collaboratively in a fast-paced environment.
• As approved by the HR management team, enhance professional and technical knowledge by attending workshops and seminars related to human resources best practices.
• Attend and actively participate in all meetings (1:1 meetings, department meetings, employee staff meetings) and other activities as required or assigned.
• Prepares reports as designated by the HR management team by compiling and analyzing data to obtain accurate and objective measurements of HR metrics.
• Complies with federal, state, and local employment laws and requirements. Ensures FCZ’s corporate policies and procedures are current and follow the best practices of human resources.
• Assist in the implementation and communication of HR policies and procedures and ensure all employee communications adhere to the most up-to-date information.
• Safely operate a vehicle for business purposes including but not limited to going to and from the zoo’s facilities and offsite.
• Perform additional responsibilities as assigned to support team and organizational goals.
EDUCATION AND JOB QUALIFICATIONS
• High school diploma or GED required. Associate’s degree in human resources or business administration preferred.
• Two (2) years of administrative work experience required.
• One (1) year of work experience in human resources is highly preferred.
• Two (2) years of prior experience using Microsoft Office (Excel, Word, Outlook) is required.
• One (1) year of work experience using Paycom or other Human Resource Information System (HRIS) is highly preferred.
• A valid California driver's license, valid vehicle insurance and enrolled in the CA Employer Pull Notice program required.
PHYSICAL REQUIREMENTS
These are physical and mental requirements of the position as it is typically performed. • The work is performed in a standard office environment and is a sedentary position that primarily requires the ability to remain in a stationary position while performing job duties, which include data entry, report generation, and responding to emails.
• Standing and walking are necessary to retrieve documents, attend team meetings, and utilize office equipment.
• Occasionally requires walking throughout the Zoo grounds up to 2 miles per day.
• Regularly required to lift or carry up to 10 pounds, and occasionally up to 25 lbs.
• Close visual acuity to perform an activity such as preparing and analyzing data and figures, viewing a computer terminal, and extensive reading.
• Receive detailed information through oral communication (in person and via telephone), at normal speaking levels with or without correction.
• Expressing or exchanging ideas by means of the spoken word. The employee must convey detailed or important spoken information to others in small and large group settings.
• Hand and finger dexterity is sufficient for typing and other administrative tasks.
WORK ENVIRONMENT
• This position functions both indoors and outdoors, with possible exposure to heat, cold, inclement weather, Zoo environments and external events
• The employee may be exposed to environmental substances such as dust/dirt from Zoo grounds.
• The position works in close proximity to Zoo animals.
• Regular local travel and occasional out-of-town travel may be required.
• Ability to work overtime, evenings, weekdays, weekends, and holidays.
