The Human Resources Assistant supports daily administrative and operational activities for the Human Resources department, beginning with ownership of front-desk and lobby ambassador responsibilities.The role provides direct support to the Human Resources team in areas such as training tracking, record maintenance, and new hire onboarding activities. In addition, the position performs general administrative duties including supply and purchasing requests, invoice processing and mail distribution. The Human Resources Assistant helps to ensure smooth departmental operations by supporting internal communications, completing assigned projects, and maintaining accurate and timely records.

 This position is well-suited for a detail-oriented, organized individual with foundational HR and administrative experience, strong communication skills, and the ability to manage tasks independently while meeting deadlines. The role contributes to organizational goals, upholds core values, and supports positive employee and member service outcomes.


Essential Job Functions

Lobby & Visitor Experience

  • Serve as a service ambassador stationed in the corporate office lobby reception area, delivering a warm and professional welcome to visitors and employees directing them to appropriate locations, cultivating VIP experience for arriving and departing guests and employees. 
  • Oversee visitor log and ensure credentials are valid and in accordance with security protocols.

HR Operations & Employee Lifecycle Support

  • Coordinate new hire onboarding logistics, including administration for employee corporate apparel certificates and corporate office vending services, ensuring timely secure access accurate tracking.
  •  Coordinate and complete off boarding activities for the HR team to ensure system access is revoked in a timely manner and compliance activities align with established service level agreements (SLAs). 
  • Organize, file and maintain confidential records in both paper and electronic systems, ensuring accurate labeling, indexing, and timely filing.
  • Prepare, maintain, and update organizational charts & phone lists, and ensure birthday and anniversary information is provided to the Information Technology department[BS1]  for timely updates.
  • Distribute 401K contribution letters [BS2] to employees in accordance with established years-of-service schedule.
  • Receive, prepare, and distribute employee recognition awards in accordance with employee engagement initiatives. Provide administrative support for HR training, including drafting and distributing communications, scheduling sessions, and tracking attendance.

Administrative, Finance & Mail Services

  • Verify and process invoices and complete payment processing via Concur for supplies, contracts, and services; research and resolve billing discrepancies, misrouted invoices, miscellaneous charges, and late payment charges.
  • Sort, record, and distribute incoming mail and prepare outgoing mail, including assisting with Post Office pickups or deliveries, as needed.  
  • Coordinate and support the pick-up and delivery of express mail services including FedEx and UPS. 
  • Assist and collaborate with branch locations to support  mail machines operations, rate increases, and related mail services. 
  • Maintain and replenish office, mailroom, and breakroom supplies; place special orders as requested and provide guidance to staff on pricing and delivery times.

General Administrative & Team Support

  • Provide administrative support through document creation, electronic records management, and maintenance of HR systems files.
  • Research and triage employee inquires received through multiple communication channels and connect employees to appropriate subject matter experts (SME).
  • Provide administrative and operational support to Human Resources team and other departments, as needed.
  • Prioritize work, track multiple tasks, follow through to completion with minimal oversight, and proactive follow-up as needed.

Required Minimum Qualifications 

Education:

  • High school diploma or equivalent, required.
  • Associate’s or Bachelor's degree in Human Resources, Business Administration, or a related field preferred.

 

Experience: 

  • Minimum of two - three years of administrative experience required.
  • Minimum of one year of direct experience working in Human Resources required.
  • Demonstrate strong customer service skills across multiple communication channels, including in-person, phone, digital, and written interactions.
  • Ability to handle sensitive and confidential information with discretion and professionalism.
  • Ability to establish and maintain effective, cooperative relationships with internal and external contacts.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook etc.).

Preferred Qualifications 

 

Physical Requirements 

Hearing: Ability to hear and comprehend spoken communication in person and over the phone.

Vision: Ability to view computer screens and read documentation with clarity and accuracy.

Verbal Communication: Ability to speak clearly and effectively to interact with colleagues and/or members. Frequent use of telephone headset may be required.

Manual Dexterity: Proficient use of hands and fingers for typing, operating office equipment, and handling documents.

Posture and Endurance: Ability to sit or stand at a workstation for extended periods; adjustable sit/stand desk options may be available to support comfort.

Mobility: Ability to move within the office environment to attend meetings or assist colleagues, as needed.

Lifting and Carrying: Occasionally required to lift and carry materials weighing up to 30 lbs.

Other Information 

Hours Required: Monday through Friday, generally 8 a.m. to 5 p.m., with some alternate work hours/schedules.

Travel Requirements: No travel required.


Work Environment: This position is based in a climate-controlled office environment with ergonomic workstations in a two-story building with an elevator. Subject to standard background noise found in an office environment. The work environment includes natural light from large windows throughout corporate office, supplemented by artificial lighting to ensure a comfortable working atmosphere.
