Job Description:
Essential Duties and Responsibilities:
Administrative Support & Recordkeeping:
- Assist in the maintenance of HRIS and personnel records, ensuring data accuracy and confidentiality.
- Prepare and update employee files, documents, and reports as needed.
- Coordinate and maintain calendars for interviews, onboarding sessions, trainings, and HR-related meetings.
- Support the completion and filing of new hire and termination paperwork.
- Ensure all employment compliance posters and documentation are up to date across all hotel properties.
Recruiting & Onboarding Support:
- Assist with posting job openings on various platforms and reviewing incoming applications.
- Schedule interviews and communicate with applicants during the hiring process.
- Help coordinate new hire onboarding, including scheduling orientation and completing employment eligibility verification.
- Ensure smooth communication between candidates, hiring managers, and HR leadership.
Employee Relations & Communication:
- Be a friendly and responsive point of contact for employee questions, including payroll, benefits, and policies.
- Help organize employee events, training sessions, and recognition programs.
- Support team member engagement through regular communication and feedback collection.
- Track and report on employee attendance, changes, and training completions as needed.
Compliance, Benefits & Assistance Claims:
- Assist with benefit enrollment processes and respond to routine benefits-related inquiries.
- Support the coordination of workers’ compensation and guest liability claim documentation.
- Help monitor deadlines for safety training, performance reviews, and compliance audits.
Education, Skills and Abilities:
- Education: Bachelor’s degree in human resources or a related field preferred; equivalent experience accepted.
- Experience: 1+ years in an administrative or Human Resources role, preferably in hospitality or multi-unit operations (internships included).
- System Knowledge: Familiarity with HRIS systems, ADP preferred.
- Communication: Clear, professional verbal and written communication skills.
- Tech-Savvy: Basic proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Detail-oriented & Organized: Ability to multitask, manage time effectively, and maintain accurate records.
- Self-Motivated & Driven: Proactive, self-motivated, and problem-solving abilities.
- Confidentiality: Ability to handle sensitive information with discretion and integrity.
- Language: Bilingual English and Spanish preferred but not required.
Physical Requirements:
- Ability to sit for extended periods of time.
- Ability to type on a keyboard with repetitive movements of the fingers, wrists, and potentially the neck.
- Ability to lift and carry up to 25 lbs. occasionally (e.g., reports, supplies).
- Frequent bending, reaching, and handling office equipment.
- Comfortable working in both office and hospitality environments.
