    Tanque Verde USD is seeking an HR Assistant. This is a full-time benefits eligible position. Working under the general direction of the HR Manager this person provides essential administrative and clerical support for the District's personnel operations. This position assists in managing the employee lifecycle, including recruitment, onboarding, benefits administration, and records maintenance. The HR Assistant ensures compliance with District policies, as well as state and federal regulations, while maintaining high standards of data integrity and customer service.

    Essential Duties and Responsibilities

    1. Onboarding & Employment Lifecycle

    • Recruitment Support: Assists with posting job vacancies and processing application materials; coordinates with hiring managers to initiate the hiring process.
    • New Hire Orientation: Facilitates the onboarding experience for various employee groups; ensures new hires understand District policies and complete required documentation.
    • Credential Monitoring: Monitors and updates employee certifications and professional documentation to ensure compliance with state and local requirements.
    • Technical Integration: Coordinates with relevant departments to ensure new staff receive necessary system access and identification.

    2. Compliance & Records Management

    • Background Clearances: Coordinates background check processes for employees and volunteers; tracks clearance status and maintains secure, confidential records.
    • Record Keeping: Establishes and maintains physical and digital personnel files; ensures all documentation meets state, federal, and audit standards.
    • Volunteer Coordination: Processes volunteer applications and ensures all safety and background requirements are met prior to service.

    3. Benefits & Personnel Administration

    • Benefits Support: Provides administrative assistance for health and welfare plans; assists with enrollment, status changes, and general benefits inquiries.
    • Retirement Systems: Assists with the administration of retirement plan memberships and ensures required reporting and verifications are completed.
    • Information Systems: Performs regular data entry into HRIS and payroll-related systems to reflect changes in employee status, compensation, or personal information.
    • Financial Administration: Assists with the reconciliation of invoices and processes department-specific financial requisitions.

    4. District Reporting & Annual Cycles

    • Personnel Reporting: Prepares and organizes data for regular personnel reports, including updates on hires, resignations, and contract changes.
    • Annual Processes: Supports large-scale annual events such as open enrollment, contract renewals, and yearly compliance filings.
    • Other Duties: Performs other job-related duties as assigned by the HR Manager or District Leadership.

    Knowledge, Skills, and Abilities

    • Office Technology: Proficiency in standard office software and the ability to learn specialized human resources information systems (HRIS).
    • Regulatory Awareness: Knowledge of general employment laws, records retention practices, and privacy standards.
    • Professional Communication: Ability to interact effectively and maintain confidentiality with a diverse group of employees, applicants, and the public.
    • Attention to Detail: High level of accuracy in data entry, filing, and the management of administrative timelines.

    Physical Demands & Work Environment

    • Primary work is performed in a standard office setting involving frequent computer use.
    • Occasional travel within the District may be required.
    • Ability to lift and move office supplies or files weighing up to 20 lbs.

    Minimum Requirements

    • Education: High School Diploma or equivalent required. An Associate's degree in Business Administration, Human Resources, or a related field preferred.
    • Experience: One to two years of clerical or administrative experience, ideally within a Human Resources environment or public education setting.
    • Certification: Ability to obtain and maintain a valid Arizona Identity Verified Print (IVP) Fingerprint Clearance.
    • Equivalency: Any equivalent combination of education and experience that provides the required knowledge, skills, and abilities will be considered.
