Core Functions:
- Maintain accurate and current employee records in the HRIS (Human Resource Information System), ensuring compliance with confidentiality and data protection laws.
- Collect and review new hire paperwork for completeness and enter new hires and status changes into the HRIS and payroll system.
- Collaborate with the Payroll and Compliance Specialist to review payroll accurately and on time.
- Oversee employee onboarding procedures, including completing Form I-9 and E-Verify, monitoring education and background checks, and notifying hiring managers once new hires are cleared to begin.
- Ensure employee files are complete and comply with University policies and legal regulations; conduct periodic audits of personnel files.
- Verify payroll records (including timecards, sick leave, overtime, insurance deductions, and tax forms) are adequately maintained.
- Assist and support RMU staff and faculty with HR-related inquiries or requests as needed.
- Address employee benefits and personnel questions promptly and courteously.
- Keep the Director of Human Resources informed about any significant concerns or issues.
- Respond to questions from applicants and employees regarding standard policies, benefits, and hiring processes, and refer more complex issues to senior HR staff or management.
- Perform periodic audits of HR files to ensure all required documents are collected, properly filed, and compliant.
- Assist with planning and executing special events, such as benefits enrollment, organizational meetings, employee recognition events, holiday parties, and retirement celebrations.
- Perform general administrative tasks, such as answering phones, managing calendars, organizing files, and handling mail.
- Attend meetings and serve on committees as required or requested.
- Complete special projects and other duties as assigned
Background/Expertise:
- A high school diploma or GED equivalent is required; an associate’s degree in human resources, business administration, or a related field is preferred.
- Some understanding of HR functions and best practices.
- Knowledge of fundamental labor laws and employee equity regulations.
- Previous experience in an HR or administrative role is required
- Solid problem-solving and organizational skills
- Excellent written and verbal communication skills
- Proficiency with the MS Office Suite and any relevant HR software
- Strong interpersonal and conflict-management skills
