Job Summary:

The Human Resources Assistant plays a vital role in supporting the human resources department by facilitating onboarding and orientation processes, coordinating employee engagement activities, managing employee communication channels, and maintaining recognition programs. This role requires strong organizational skills, creativity in crafting communication materials, and the ability to manage various initiatives such as surveys, celebrations, and compliance postings. The Human Resources Assistant must also demonstrate confidentiality when handling employee data and provide exceptional customer service to address employee requests and questions. This position involves proactive planning, collaboration with team members across all levels, and effective use of tools such as Excel, Word, PowerPoint, Canva, and Adobe Creative Suite to create engaging and professional content. It is essential for the individual in this role to uphold professionalism, maintain discretion, and contribute to fostering a positive workplace culture.

Essential Duties & Responsibilities:

  • Leads and facilitates new employee onboarding and orientation processes as well as new employee feedback meetings. 
  • Conducts periodic checks of new hires until they have been fully onboarded to ensure a positive and successful orientation experience.
  • Manages all site specific Employee Engagement activities which include such practices as: Employee Engagement Survey, employee celebrations and events, United Way Campaign, company volunteer events, anniversary and birthday recognition, retirement gatherings, and employee gifts.
  • Creates and facilitates various employee communication activities and events, such as internal communication postings, recruitment materials, In the Loupe/Share Point Intranet site, employee display and communication boards in break rooms/entrances, annual open enrollment announcements and safety compliance postings. 
  • Prepares communication materials utilizing a variety of tools including Excel, Word, PowerPoint, Canva, and Adobe Creative Suit to develop attractive, graphic-intensive, and engaging content for employees and managers. 
  • Manages Inland’s Recognition program and communicates results to the management group bi-annually. 
  • Administers the “Inland Store” and employee uniform program. Places replacement orders with preferred vendor, as needed. 
  • Performs internal customer service functions by answering employee requests and questions. 
  • Ensures confidentiality of employee data and information. 
  • Assists in HRIS system management. 
  • Administrative support to HR functions, that includes record keeping and file maintenance.
  • Cross trains on various other department processes to serve as a back up for team, including recruitment, payroll, benefits, and employee relations.

Essential skills and experience:

  • Associate degree in Human Resources, Communication, Business Administration, Marketing, or other related field. 
  • 2 years of work experience in a professional, office environment, or combination of education and experience is required. 
  • Trustworthy and upholds the standards of confidentiality.
  • Exceptional writing and editing skills – both creative and technical - with the ability to adopt the style, tone and voice based on need. 
  • Willingness to learn, adapt to change, and take on additional duties and tasks.
  • High level of interpersonal skills 
  • Demonstrated planning and organizational skills with the ability to be comfortable with a high-volume workload.
  • Must possess considerable initiative, outstanding customer service skills, with ability to learn quickly.

  • Proficient in Microsoft Suite and experience with Adobe Creative Suite and/or Canva. Comfortable learning new technology and programs as needed.

Nonessential skills and experience:

  • Bachelor’s degree in Human Resources, Business Administration, Management, or a related field
  • Prior experience with ADP Workforce Now HRIS system

Work Environment:

  • Operates in a demanding, fast-paced, people-oriented manufacturing environment with frequent changes and interruptions, and multiple project assignments.  
  • Works with a variety of people including vendors, customers, employees, managers, and executives.
  • This role also involves working in an open-space environment that encourages collaboration and dynamic interactions among team members to drive organizational success.

Required Work Schedule:

  • Part-time position, up to 30 hours per week. Monday and Tuesday hours are 7:45 AM – 3:00 PM. Typically works during standard business hours. Additional hours are flexible based on business need. 
  • Inland is a 24/7 organization. Must be flexible to attend meetings, functions, and to be available during off hours, weekends, and holidays to meet organizational initiatives.  

Physical Requirements: 

  • Position is generally sedentary; 20/40 corrected vision.
  • No unusual physical requirements are necessary.
