About the Role

The HR Coordinator provides critical administrative, operational, and customer-service support to the Human Resources department. This role assists with onboarding, employee records management, HRIS data entry, recruitment coordination, basic employee relations inquiries, and supports compliance with federal, state, and organizational HR policies. The HR Coordinator helps ensure smooth HR workflows and delivers timely, accurate service to employees, leaders, and external partners.

POSITION’S ESSENTIAL RESPONSIBILITIES: 

HR Operations & Administration

  • Serve as the first point of contact for general HR inquiries, directing employees to appropriate resources.
  • Maintain employee personnel files and electronic documents ensuring accuracy, confidentiality, and compliance.
  • Assist in processing employee changes (status changes, pay adjustments, transfers, terminations, etc.) in the HRIS.
  • Support the administration of benefits, leave management, and general HR programs as assigned.
  • Track completion of required onboarding, compliance documents, and annual acknowledgments (e.g., Job Descriptions, policies).
  • Maintain HR calendars, department inbox, and ticketing systems ensuring timely follow-up and resolution.

Onboarding & Offboarding

  • Coordinate pre-hire onboarding steps including background checks, I-9 documentation, licensure verification, and new-hire paperwork.
  • Schedule and support new hire orientation and ensure all onboarding tasks are complete in ADP or the company’s HRIS.
  • Process terminations, prepare exit documents, and ensure offboarding items (equipment return, system access removal, etc.) are completed.

Recruitment Coordination

  • Assist Talent Acquisition with job postings, candidate communication, and interview scheduling.
  • Maintain requisition status and ensure applicants are processed accurately through the ATS.
  • Prepare offer letters, collect required credentials, and escalate issues to TA or HR leadership as needed.

Compliance & Reporting

  • Assist with compliance audits including personnel files, licensure/credential tracking, I-9 forms, exclusion screening, and annual required trainings.
  • Support HR in maintaining regulatory compliance with federal, state, and healthcare-specific requirements.
  • Assist in generating routine HR reports and metrics (turnover, new hires, license expirations, onboarding status, etc.).

Employee Engagement & Culture

  • Provide administrative support for engagement surveys, recognition programs, and HR-led initiatives.
  • Assist with employee events, trainings, communications, and culture-building activities.

EDUCATION AND EXPERIENCE REQUIREMENTS: 

  • 1–2 years of HR, recruiting, or administrative support experience preferred.
  • Healthcare HR experience strongly preferred but not required.
  • Experience with ADP Workforce Now, applicant tracking systems, or HRIS platforms is a plus.
  • Strong attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong organizational and time-management skills; able to handle multiple priorities.
  • Customer-service oriented with a professional and approachable demeanor.
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Excellent verbal and written communication skills.
