Position Title: Human Resources Coordinator

Status: Full-time, Non-Exempt

Department: Finance

Supervisor’s title: Senior Director of Accounting and Human Resources

Work Schedule: Monday - Friday 8:00AM - 5:00PM; weekend and evening hours on occasion as necessary

 

 

 

JOB PURPOSE AND FUNCTION

Under the general supervision of the Senior Director of Accounting and Human Resources, the Human Resources Coordinator is responsible for assisting and executing Human Resources functions within the organization, including but not limited to, payroll processing, benefits administration, recruitment and onboarding, policies and procedures, worker’s compensation, compliance, training, employee development, recordkeeping, and other administrative functions.

 

 

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Compliance & Administration

  • Assist with reviewing and revising policies and procedures on a routine basis for improvement, compliance, and to ensure the Foundation is following best practices
  • Review and update organization chart on a routine basis
  • Review and update organization’s job descriptions on an annual basis, in consultation with Department Heads
  • Maintain knowledge and organizational compliance with federal, state, and local laws as they pertain to employment matters
  • Conduct routine internal audits of records (e.g., FLSA classifications, I-9 forms, personnel records); make appropriate updates as necessary
  • Assist the Senior Director of Accounting and Human Resources with the preparation of data needed to file annual reports (e.g. EEO-1, audit reports, ACA, Form 5500, Non-Discrimination, and HIPPA)
  • Maintain and manage HR technologies, including electronic personnel records, the organization’s HRIS, and internal HR Intranet resource
  • Assist with other administrative functions including employee parking, annual staff merchandise order, etc.

 

Benefit Management & Payroll Support

  • Assist the Senior Director of Accounting and Human Resources with benefit (medical, dental, retirement, leave, and disability) administration functions:
    • researching benefit options and vendors,
    • conducting open enrollment,
    • processing benefit elections and changes,
    • completing monthly premium reconciliations
    • ensuring proper ACA and other annual filings
  • Prepare semi-monthly payroll for processing, including review of non-exempt employees’ hours, updating and maintaining payroll deductions, and calculating fringe benefits
  • Prepare, calculate, and submit monthly contributions to employee retirement plans, as well as monitor annual contribution limits and distribute legally required plan documentation
  • Assist with worker’s compensation claims with third-party administrator
  • Facilitate management and employee understanding of time, attendance, and payroll policies and procedures

 

Recruiting & Onboarding

  • Partner with hiring managers on all recruitment efforts by:
    • posting open positions,
    • screening candidates,
    • establishing interview teams,
    • scheduling interviews and related applicant travel,
    • communicating employment offers
  • Maintain a proactive recruiting database with top industry talent
  • Conduct new employee orientations and comprehensive onboarding, including coordination with Texas A&M University, the Athletics Department, and Transportation Services
    • Coordination of securing University Identification Numbers, Key/Access to Kyle Field, and parking
  • Manage employee off-boarding process, including exit interviews, final payroll, COBRA administration and security

 

*Note: In addition to partnering with the hiring managers on all recruitment efforts for full-time employment roles, the Human Resources Coordinator will work closely with the Director of Premium Seating and the Assistant Director of Ticket Operations & Events on the recruitment efforts for seasonal workers (hospitality hosts and official greeters to the premium seat guests at Texas A&M Athletic venues) and student workers for ticket operations hired by the 12th Man Foundation.

 

Performance Management & Employee Relations

  • Lead the execution of semi-annual performance reviews to guide staff towards reaching goals outlined in the organization’s Strategic Plan
  • Attend suitable training, relevant conferences, and educational sessions to gain knowledge of best practices and industry trends through networking with peers
  • Coordinate employee development, training, recognition, and engagement activities

 

Other duties and special projects as assigned, including football gameday duties as assigned



Qualifications

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or other related field
  • Minimum 2+ years of progressive work experience in human resources or benefits administration requiring superior customer service skills
  • High level of integrity and demonstrated ability to handle sensitive and confidential information in a professional manner
  • PHR or SHRM-CP certifications preferred
  • Experience with the Paycom, or other HRIS, system preferred
  • Proficient in all applications of Microsoft Office
  • Ability to commit to a structured weekly schedule and willingness to be flexible based on occasional projects or events requiring weekend, holiday, and evening hours
