Position Summary:
As a core member of our HR team, the Human Resources Coordinator will be the heart of our daily operations, ensuring our team feels supported at every turn. Key Responsibilities:
• Serve as the first face of HR, managing the incoming calls, email, and walk-in inquiries with a hospitality-first, "five-star service" mindset.
• Execute logistics for staff events, milestone celebrations, and recognition awards, including gift card procurement, catering, and creative decor.
• Draft and distribute bilingual (English/Spanish) announcements via social media, email, and bulletin boards to ensure all staff stay informed.
• Post job openings, screen resumes, and coordinate interview scheduling for hiring managers.
• Initiate background checks and E-Verify screenings; prepare physical welcome packets, order uniforms/nametags, and coordinate IT/security access for all new hires.
• Schedule and track all new hire orientations, mandatory training, and departmental meetings.
• Maintain 100% audit-ready employee files digitally, ensuring strict compliance for I-9s, background checks, and certifications.
• Accurately input new hire data, process status changes (promotions/pay raises), and generate routine reports to support data-driven decision-making.
• Translate HR forms, policies, and training materials into Spanish to maintain clear communication across a diverse workforce.
• Assist the HR Director and Generalist with calendar management, meeting minutes, and special project coordination.
• Oversee HR department supplies, manage incoming/outgoing mail, and lead the transition from paper to electronic filing systems.
• Collect and track annual performance reviews and exit interview data to help improve staff retention.
• Additional duties assigned by the Director of Human Resources.
Required Education, Experience and Qualifications:
• Bachelor’s degree in Human Resources, Business Administration, or a related field (e.g., Psychology/Communications) is preferred.
• 1–2 years of experience in an HR administrative or coordinator role is preferred.
• Previous experience in a hospitality or country club environment is highly desirable to ensure alignment with "five-star" service standards.
• Fluent in English and Spanish (written and verbal) is a plus, to effectively translate policies and communicate with a diverse workforce.
• Mastery of Microsoft Office Suite (Word, Excel, PowerPoint) and comfort navigating HRIS/payroll platforms is preferred.
• A genuine desire to assist others with an outgoing, friendly, and professional demeanor.
• Highly organized with a "double-check" approach to data management and the ability to prioritize multiple competing tasks.
• A dedicated team player who maintains productivity and positivity in a fast-paced environment.
• Must be 18 years of age or older and eligible to work in the United States.
Physical Requirements & Working Conditions:
• Primarily a normal office setting within a high-energy, productive, and fast-paced environment.
• Ability to remain in a seated position for extended periods while maintaining high levels of focus and accuracy.
• This is not a strictly sedentary role. The coordinator must be able to regularly traverse the property (including back-of-house, dining areas, and outdoor facilities) to post announcements, meet with staff, and coordinate event logistics.
• Ability to remain seated for administrative tasks while maintaining the stamina to be "on your feet" and mobile throughout the day.
