    Job Summary

    Under the direction of the Director of Human Resources, the Human Resources Coordinator supports the implementation of HR policies, programs, and procedures, and provides comprehensive customer service to district staff. The role includes a broad range of HR responsibilities, including record maintenance, employee support, recruitment, compliance, and administrative functions, to ensure the district's HR needs are met effectively.

     

    Essential Functions

    1. Create, maintain, and update personnel records for all assigned staff.
    2. Ensure compliance with record-keeping requirements, including confidentiality.
    3. Process all required employment paperwork for assigned new hires.
    4. Assist in exit processes, ensuring completion of necessary documentation.
    5. Monitor, track, and maintain certifications, endorsements, and National Board credentials.
    6. Support staff with certification renewals and compliance questions.
    7. Serve as a point of contact for district employees regarding pay, benefits, leave, certification, professional development, and district policies.
    8. Post administrative, certificated, classified, and coaching positions.
    9. Coordinate interview processes, may include scheduling and communication with applicants.
    10. Prepare and distribute annual teacher contracts, supplemental contracts, and other employment agreements.
    11. Assist employees with leave requests (FMLA, maternity, unpaid leaves) and coordinate leave sharing requests.
    12. Track leave balances and ensure accurate entry in Qmlativ.
    13. Maintain personnel, certification, and salary data in Qmlativ.
    14. Monitor and manage Frontline data for substitute scheduling and attendance tracking.
    15. Track and ensure timely completion of staff performance evaluations.
    16. Manage and track Worker's Compensation claims and related documentation.
    17. Assist with new employee orientations and other HR-related training sessions.
    18. Generate personnel reports for administration and state reporting.
    19. Prepare board documentation for regular and special meetings.
    20. Support contract negotiations and labor management meetings.
    21. Perform other related tasks as assigned to support the HR department and district operations.

     

    Other Functions

    1. Collaborate with payroll staff to ensure accurate employee pay and deductions.
    2. Work closely with the benefits specialist to support new hires and ongoing benefit needs.
    3. Provide administrative support to other district office staff and departments as needed.

     

    Qualifications

    • Associate's degree in business, HR, or related field; relevant experience may substitute for a degree.
      • At least three years of HR experience, preferably in education or government settings.
      • HR Certificate Preferred (PHR, SHRM-CP)
    • Technical Skills
      • Proficiency in Microsoft Office applications and Qmlativ.
      • Familiarity with job posting and substitute systems (Frontline).
    • Knowledge
      • Understanding of state and federal employment laws and regulations.
      • Knowledge of payroll and benefit administration processes.

      • Proven customer service skills with a professional and approachable demeanor.
      • Strong verbal and written communication skills.

      • Ability to prioritize tasks, meet deadlines, and handle multiple projects with minimal supervision.

    Work Environment

    This position involves approximately 60% sitting, 20% walking, and 20% standing in a generally clean and healthy environment.

     

    Benefits

    School Employee Benefit Board (SEBB) Eligibility determination: All eligibility determinations are based on rules in Chapters 182-30 and 182-31 of the Washington Administrative Code (WAC). If the position is anticipated to work a minimum of 630 hours in a school year, then that position would be deemed benefit eligible. SEBB benefits include medical, vision, dental, long-term disability and life insurance. Supplemental coverages are also available. 

     

    Retirement Eligibility determination: A certificated position participates in the Teacher Retirement System (TRS) which requires at least 5 months of 70 or more hours of compensated employment during a school year to be eligible for Washington State Retirement. A classified position participates in the School Employee Retirement System (SERS) if the position is expected to require at least 5 months of 70 hours or more for two consecutive years (initially) of employment.
