PRIMARY RESPONSIBILITY:
The HR Generalist will assist the People & Culture/HR team in ensuring the staff, volunteer, and intern programs operate effectively and efficiently. The incumbent must maintain a positive, professional attitude with volunteers, interns and colleagues while assisting with recruiting, orienting, scheduling, record keeping, and handling day-to-day needs of our teams.
ESSENTIAL JOB FUNCTIONS:
- Use independent judgment and discretion to oversee recruitment, interviewing, orientation, and scheduling of staff, new adult volunteers, junior volunteers, and seasonal interns for all departments.
- Use independent judgment and discretion to effectively liaise with universities and educational institutions to promote CMA’s internship program and build strategic community partnerships.
- Attend recruiting events virtually and in person to drive interest in volunteer and internship programs
- Provide information on volunteer and internship programs by phone, email, and at outreach events.
- Conduct welcome meetings and tours to introduce new and prospective volunteers to Clearwater Marine Aquarium.
- Complete employer I-9 forms and E-Verify for new hires as needed in compliance with IRCA.
- Monitors communal HRAdmin email address to respond to team member requests for
apparel, key cards, and/or perks (ex: Attraction Share requests). Fulfills requests as they are received.
- Demonstrated ability to create and present interactive presentations (ex: PowerPoint) and host for large groups.
- Assist team members with schedule changes, uniform orders and other day-to-day needs.
- Maintains Staff, Volunteer and Intern handbooks to ensure compliance, relevance, and consistency.
- Assist with designing and implementing curriculum in the HRIS system for all team members
- Provide information on CMA perks and benefits, dress code and other policies.
- Use independent judgment and discretion to find ways to elevate the volunteer and intern experience by incorporating additional meaningful experiences and opportunities.
- Assist with planning and executing volunteer recognition, awards, and appreciation programs.
- Assist in maintaining accurate records and HR files for volunteers and interns, including purging outdated files once monthly to ensure Paycom system is up-to-date and records are accurate.
- Maintain accurate, up-to-date reporting. Provide regular updates to regarding current volunteer/intern numbers (active, prospective, in the pipeline, etc.)
- Use independent judgment and discretion to assist department management with addressing volunteer/intern disciplinary matters and other concerns.
- Regularly attend and contribute to council meetings as an HR liaison/member to maintain current knowledge of events and initiatives within the organization
- Support HR Team with tasks as needed to ensure smooth functionality of the department and strong customer service to internal clients
- Assist with open enrollment and benefits administration
- Schedule pre-hire background checks, drug tests, and fingerprint checks in accordance with CMA policy
EDUCATION/EXPERIENCE/CAPABILITIES REQUIREMENTS:
- Minimum of 2 years of customer service and administration experience.
- Minimum of 2 years of Human Resources experience required. Experience in a non-profit setting working with volunteers or interns is preferred.
- Demonstrated excellent oral communication skills (in person and over the phone), conveying a positive and welcoming tone and demeanor.
- Excellent written communication skills, utilizing correct spelling and grammar.
- Fluent in nuances of nonverbal communication (body language, tone of voice, etc.) to embody a positive and helpful demeanor.
- Demonstrated ability to respond to difficult situations with tact and discretion.
- Ability to interact with diverse staff.
- Ability to problem-solve quickly and demonstrate sound judgment in a collaborative, solutions-based approach.
- Demonstrated project management experience focusing on timely completion of projects with strong attention to detail and accuracy.
- Proven track record of initiative with project management, including recruitment and retention.
- Strong computer skills, including proficiency in Word, Excel, Power Point, Outlook and Windows. Experience with ADP HRIS system is a plus.
- SHRM-CP or PHR certification strongly preferred, experience can be substituted on a 2 to 1 basis.
