POSITION: Human Resources Generalist
Position Summary
This full-time, year-round role offers the unique opportunity to manage the full employee lifecycle—providing essential administrative support and care for our educators and staff from their initial appointment letter through to retirement.
Reporting to the Executive Director of Human Resources and supporting both the Executive Director of Human Resources and the HR Manager, you will serve as a cornerstone of our district-wide Human Resources team. Key responsibilities include: ensure personnel data integrity, facilitate critical payroll-related attendance tracking, and champion the professional needs of those who serve our students. This is a full time, year round, salaried position and is eligible for a comprehensive benefit package including health insurance, town retirement, and paid vacation, sick & personal time.
Responsibilities:
Data Management & Payroll Support
Execute data entry for new hires within Munis and Powerschool; collaborate with the Data Specialist to ensure compliance with state personnel (EPIMS) reporting.
Oversee the district’s time and attendance function. Synthesize data from school-based administrative staff to provide accurate pay advice to the Finance and Operations payroll team in accordance with collective bargaining agreements.
Audit and maintain physical and digital personnel files to ensure regulatory compliance and organization.
Assist with the administration of employee leaves including monitoring accrual balances and ensuring accurate recording of time.
Recruitment & Staffing Operations
Facilitate position postings across internal and external platforms; manage the administrative closure of vacancies upon hiring.
Process and manage all required paperwork for hires, transfers, resignations, retirements, and leaves.
Generate appointment letters, annual assignment letters for certified and non-certified staff, and letters of assurance under the direction of HR leadership.
Coordinate the processing of new hire documentation, execute background check protocols (CORI/SAFIS), and issue formal acceptance letters for resignations and retirements.
Screen candidates for daily substitute positions as needed.
Administrative Support
Provide overall administrative support to the Executive Director of Human Resources including drafting communications and responding to questions from employees and applicants.
Evaluate HR workflows and recommend process improvements to enhance departmental accuracy and productivity.
Execute seasonal projects and other administrative duties as assigned by the Executive Director or HR Manager.
Assist with the onboarding process of new employees, including in person meetings and processing new hire paperwork.
Assist with special projects and perform other duties as assigned.
Required Qualifications
Experience in human resources, payroll, or a related field.
Strong understanding of Human Resources practices, confidentiality, and customer service.
Exceptional organizational skills and demonstrated ability to manage complex tasks, prioritize effectively, and meet deadlines.
Advanced skill set in Google Workspace (Docs, Sheets) and Microsoft Office Suite. Prior experience with Munis, SchoolSpring and PowerSchool or similar Enterprise Resource Planning (ERP) databases is preferred.
High-level verbal and written communication skills suitable for a professional public sector environment.
Demonstrated ability to manage sensitive, confidential employee information with strict adherence to privacy protocols.
Exceptional accuracy in data entry and document production.
Ability to manage shifting priorities and maintain productivity in a high-volume environment.
