Position Summary

Under the direction of the Human Resources Director, the Human Resources Generalist performs a broad range of complex, sensitive, and confidential administrative duties requiring substantial knowledge of ACCS policies and procedures. The position serves as a key resource for System Office personnel and applicants by providing guidance and support on human resources matters and processes. In addition to its human resources responsibilities, the position also provides essential administrative support to the Board of Trustees and the Legal Division.

Essential Duties and Responsibilities

PRIMARY DUTIES:

  1. Maintains appropriate confidentiality regarding all work performed for the Human Resources Division.
  2. Serves as receptionist for the Human Resources and Legal Divisions and provides administrative support, including telephone and correspondence coordination, mail distribution, records management, and maintenance of confidential personnel files and personnel actions.
  3. Assists with human resources functions for System Office staff and ACCS institutions, including preparation of correspondence and maintenance of personnel and institutional files.
  4. Maintains job vacancy postings, personnel records, spreadsheets, job descriptions, organizational charts, and telephone listings for the System Office.
  5. Prepares and distributes letters of appointment and other employee notices, as directed.
  6. Coordinates recruitment and onboarding activities, including job postings, application intake, candidate communications, interview scheduling, background screenings, new employee orientation, required documentation, E-Verify, and state new hire reporting.
  7. Performs HRMS data entry and maintenance, including new hires, terminations, salary actions, and classification changes.
  8. Serves as budget coordinator for the Human Resources Division, including supply ordering, travel and purchase requests, budget amendments, and review of travel documentation for accuracy and timely submission.

BOARD AND LEGAL SUPPORT
     9.  In the absence of the Board Secretary, serves as backup Board Secretary including preparing action items for meetings, attending Board meeting,            record notes of meeting; and performs other related duties as assigned by the Senior Legal Counsel.          
    10. Assists the Board Secretary with Board meeting preparation, logistics, and follow-up,  including setup of the boardroom and board table,                             preparation of agenda materials, resolutions, correspondence, and printed and electronic agenda packets; in support of the Secretary, may assist in          transcribing and preparing official Board  meeting minutes, and other related duties as assigned by the Senior Legal Counsel. 
     11.  Coordinates Board-related administrative support, including Board member travel and expense reimbursements, arrange for purchase and                        delivery of meeting  supplies and refreshments, parking permissions, security badges, parking codes, elevator access, and related building access.  

SECONDARY DUTIES:

     12. Coordinates System Office processes associated with Alabama Ethics Law and Statement of Economic Interests filings.
    13. Coordinates employee recognition programs and assists with updates to the System Office Policies and Procedures Manual.
    14. Assists ACCSHRMA, coordinates facilities and equipment needs for division meetings, seminars, and conferences, and completes special projects              and other duties as assigned.
     15. Other duties as assigned.

Qualifications

MINIMUM QUALIFICATIONS REQUIRED

  1. Bachelor’s degree from a regionally accredited institution in Human Resources, Business or Office Management, or a related field.
  2. Five (5) years of directly related experience in human resources or related role.
  3. Experience working with Banner or other similar enterprise Resource Planning (ERP) computer systems.
  4. Proficiency in computer applications/software packages including Microsoft Word, Excel, Outlook, and PowerPoint.
  5. Ability to communicate effectively, both orally and in writing, and the ability to understand and carry out moderately complicated written and oral instructions.
  6. Ability to maintain confidentiality.
  7. Ability to plan, organize and prioritize work assignments to meet timeliness and facilitate workflow.

PREFERRED

  1. Experience working with and supporting the operations of a Board of Trustees is preferred.
  2. Experience with NeoGov or NeoEd.
