SUMMARY:

Human Resources Generalist III position ensures the integrity and optimization of the Human Resources Information System (HRIS) data and performs system analysis/maintenance/data entry, produces analytical reports, aids with help desk service functions and end-user training programs. Implements human resources programs by providing human resources services, which may include administration of compensation and benefits programs, training and development, employee or labor relations, and affirmative action/equal employment opportunity compliance. Completes personnel transactions and maintains associated records. Ensures compliance with applicable labor laws and government reporting actions. 

ESSENTIAL FUNCTIONS:

HRIS

  • Oversees and maintains optimal function of the HRIS, which may include installation, customization, development, maintenance, and upgrade to applications, systems, and modules.
  • Analyze HRIS performance metrics and resolving application issues.
  • Perform audits on HR processes and documents, including hiring and termination.
  • Consult with department managers to determine HRIS needs making recommendations to improve performance metrics. 
  • Documenting processes, identifying HR concerns, and compiling data analysis reports.
  • Provides technical support, troubleshooting, and guidance to HRIS users.
  • Collaborates with stakeholders to identify system improvements and enhancements; recommends and implements solutions.
  • Manages permissions, access, personalization, and similar system operations and settings for HRIS users.
  • Collaborate with the fiscal department to ensure tax jurisdictions are setup within the HRIS. 
  • Report wages and process employer premium payments for state leave programs and unemployment.
  • Programs custom functions and documentation such as automated queries, filters, macros, and reports.
  • Compiles or assists with the acquisition of complex data reports, summaries, and logs for senior executives, AMS departments, and HR staff.
  • Ensures system compliance with data security and privacy requirements.
  • Maintains knowledge of trends and developments in HRIS providers, vendors, and technology.
  • Acts as Department Record Officer to ensure adherence to AMS records retention schedules and prepare terminated employee files for electronic archiving.
  • Maintain knowledge of technological advancements and trends in the field of HRIS.
  • Assists with the preparation of the performance review process regarding annual increases.
  • Update and maintain all procedures associated with position.

Generalist/Compliance

  • Submit and track all Worker’s Compensation claims and related compliance requirements.
  • Government reporting for Affirmative Action, Equal Employment Opportunity and Veterans Employment Report.
  • Maintain State & Federal Posters for all AMS locations.
  • Maintain annual Conflict of Interest forms.
  • Tracks information for EEO-1 reporting and completes the Employer Information Report EEO-1 annually. 
  • Tracks compliance for mandatory trainings, performing quarterly audits.
  • Maintains and updates employee handbook with HR Director as policies and laws change.
  • Track unemployment claims for all AMS locations.
  • Completes all verification of employment (VOE) requests.
  • Arrange employee events throughout the year with assistance from HR Assistant.
  • Serve as G.I.V.E Committee Treasurer.
  • Maintain HR intranet space with updated information.
  • Backup support for Talent Acquisition and Development Partner, review onboarding presentation, enter new hire or termination changes. 
  • Other duties as assigned.

Benefits

  • Back-up for Benefits Administrator – assisting with reports, audits, and day-to-day operations in the absence of the Benefits Administrator.

INTERNAL AND EXTERNAL RELATIONSHIPS:

  • Internal: Must maintain good relationships with staff in all departments.
  • External: Interacts with external auditors and vendors.
  • Regularly interacts with internal staff and department/division heads at all AMS locations. May serve on various inter-departmental/cross-divisional committees.
  • Regularly interacts with external vendor representatives, other service providers.

QUALIFICATIONS:

  • BA or BS degree or equivalent combination of education and experience in Human Resources or related field.
  • 3-5 years of Human Resources or related experience.
  • Experience with HRIS systems (ADP, preferred) with advanced understanding.
  • Familiarity with HR functions, employment laws, policies and procedures are necessary. 
  • Experience with benefit programs, preferred.
  • Individual must be very detail oriented with the ability to manage multiple activities simultaneously and work effectively under strict time constraints while maintaining accuracy.
  • Must possess the ability to work independently, with minimal supervision, while being a team player.
  • Ability to maintain strict confidentiality and exercise discretion while dealing with complex and sensitive issues is a must.
  • Ability to collaborate, provide technical support, and train staff.
  • Experience in documenting processes, as well as performing diagnostic tests and audits.
  • Demonstrated experience using Microsoft Office. 
  • Excellent analytical and problem-solving skills.
  • Strong organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects with various deadlines.
  • Self-starter requiring minimal supervision.
