The Office & Human Resources Specialist provides administrative, human resources, and payroll support to ensure efficient and compliant operations at Cove Communities. This role supports employees and leadership by maintaining accurate records, assisting with HR and payroll processes, and upholding company policies, confidentiality, and regulatory requirements. The position plays an important role in delivering consistent and professional support across the organization.

Essential Duties and Responsibilities 

Office Administration 

· Support daily office operations, including coordination of supplies, vendor communication, and maintenance of organized administrative systems 

· Serve as a professional point of contact for employees, visitors, and external partners 

· Assist with scheduling, meeting coordination, and general administrative support for leadership and department teams including office events and lunches 

· Maintain accurate and well-organized electronic and physical records 

Human Resources Support 

· Assist with employee onboarding and offboarding processes, including documentation, system entry, and coordination of orientation activities 

· Maintain employee personnel files and HRIS records in accordance with company policy and regulatory requirements 

· Provide administrative support for benefits administration, including enrollment, changes, and employee inquiries 

· Assist with compliance initiatives, audits, and reporting related to employment and HR practices 

· Support company communications, training coordination, and policy administration as assigned 

· Support the company’s rewards and recognition programs in Awardco by managing automated campaigns, administering year-end awards, and coordinating ongoing wellness or other engagement activations throughout the year. 

· Manage the HR Inbox ticketing system daily

Payroll Support

· Assist with payroll preparation by collecting, reviewing, and verifying time and attendance records 

· Enter and audit payroll data to ensure accuracy and timeliness 

· Respond to routine employee payroll inquiries and escalate issues as appropriate 

· Maintain payroll-related documentation in compliance with company policies and applicable wage and hour laws 

Compliance and Confidentiality 

· Ensure all HR, payroll, and personnel information is handled with the highest level of confidentiality 

· Support compliance with federal, state, and local employment laws and company policies 

· Follow established internal controls and documentation standards 

Qualifications

Required 

· High school diploma or equivalent 

· Minimum of two (2) years of experience in office administration, human resources support, or payroll assistance 

· Working knowledge of HR processes and payroll fundamentals 

· Proficiency in Microsoft Office and HRIS/payroll systems 

· Strong organizational skills with exceptional attention to detail 

· Professional written and verbal communication skills 

· Ability to manage multiple priorities and meet deadlines 

Preferred 

· Associate’s or bachelor’s degree in Human Resources, Business Administration, or a related field 

· Experience supporting multi-location or property management operations 

· Familiarity with employment laws and wage and hour compliance 

This is an in-office position, with the possibility of transitioning to a hybrid schedule after a period of time.

Work Environment 

This position is primarily office-based and requires regular use of standard office equipment. Flexibility may be required during payroll processing periods or peak operational needs.
