Job Summary:

As a Payroll & HR Assistant, you will perform administrative processes for our people operations including bi-weekly payroll processing, benefits administration, maintenance of Federal and State compliance, support for risk management, utilization of consistent & timely practices, and provide superior customer service to managers, employees, and external agencies.

 

Duties & Responsibilities:

  • Timely processing of biweekly payroll for the Petroleum and Transportation companies.  
  • Enter, maintain, and/or process information in the payroll system. Information includes employees’ hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information.
  • Receive and process court ordered withholdings and other payroll deductions
  • Maintain accurate records of active job openings and received applications; manages internal and external job postings.
  • Review applications for entry-level and non-exempt positions.
  • Perform administrative and recordkeeping tasks related to staffing changes, which include layoffs, resignations, terminations, and extended leaves of absence.
  • Assist with the administration of employee benefits, which includes collecting and submitting employee information and notice of change in status to health, dental, life, disability, and other insurance carriers or insurance brokers.
  • Reconcile and prepare benefits invoices for payment
  • Assist with planning and supporting company-wide information meetings such as open enrollment, and meetings to announce or discuss changes in retirement or benefits plans.
  • Conduct or assist with record audits and mandatory reports, including I-9 audits, EEO-1 filings, payroll audits, and other compliance reviews.
  • Assist with employee engagement efforts
  • Process and follow up with workers’ compensation claims and maintain OSHA logs
  • Maintain knowledge and aid users of our HRIS functionality
  • Support learning & development initiatives for the company
  • Assist in Talent Acquisition efforts
  • Receive & respond to general employee & manager inquiries
  • Other duties, as assigned.

Qualifications

Education & Experience:

  • High school diploma or equivalent; Associate degree preferred.
  • Must be proficient with HRIS or payroll processing software and Microsoft products such as Excel, Word, and Outlook.
  • 2 or more years of general human resources and/or payroll experience is preferred

 

Supervisory Responsibilities:

  • None.

 

 

 

Essential Physical Requirements:

  • Prolonged sitting and usage of computer and standard office equipment.
  • Must be able to lift and carry up to 15 pounds.
  • Bending, stooping, reaching, pushing, and pulling may be occasionally required.
  • May need to work overtime as required.
  • Constant state of alertness and ability to perform in a safe manner.
