General Summary


Responsible for overseeing timely, accurate preparation, and processing of payroll for First Industrial personnel, updating and maintenance of multi-state payroll records. Ensures accurate deductions are withheld based on state and federal requirements. Responds to inquiries from employees and supervisors regarding payroll matters.  

 

Assist in coordination of benefit enrollment. Provide administrative support for Human Resources. Maintain files, complete and process forms, letters and related materials. Update and maintain personnel records. Process invoices and other related paperwork. Coordinate job postings and assist with recruitment efforts.


 

Essential Job Functions

 

    1. Ensures processing of paychecks for all personnel is completed in a timely and accurate manner.
    2. Reporting payroll information in an accurate and timely manner to necessary parties.
    3. Completing the payroll journal entries in an accurate and timely manner.
    4. Ensures compliance with accounting policies and procedures and audit standards.
    5. Answers questions from employees concerning payroll deductions, wage rates, and other payroll related information. Inquiries of this nature are responded to with factual information according to established policies and procedures.
    6. Maintains knowledge of up-to-date State and Federal tax regulations and law changes.
    7. Reconciles various bank statements and accounting ledgers.
    8. Prepare complex administrative reports, statements, and lists which require data and/or information gathering and complex calculations. Draft and prepare special reports when needed.
    9. Analyzes payroll data and prepare detailed reports.
    10. Review bills for accuracy and contact vendors to resolve discrepancies. Process Human Resources departmental invoices.
    11. Performs other duties as assigned, some of which may be essential to the job.
    12. Ability to function independently in a multi-task environment, as well as part of a team.

 

 

 Knowledge, Skills, and Abilities


    1. One to two years' experience in Payroll/HR administration coupled with an Associate's degree or an equivalent.
    2. Computer skills necessary to enter and manipulate words and data and use standard microcomputer-based software to communicate with others, prepare documentation, and/or analyze data. Familiarity with ADP Workforce Now, ADP Reporting, and JD Edwards.
    3. Excellent oral and written communication skills and the ability to work with all levels within the organization. Ability to prepare accurate documentation and to review, proofread, and check for accuracy.
    4. Ability to successfully complete multiple projects/assignments at the same time. 

 


Physical Requirements


    1. Work requires sitting for extended periods of time when working with computer system. 
    2. Work requires frequently traveling to locations other than assigned office.
    3. Work is performed in a normal office environment where there are relatively few physical discomforts due to dust, dirt, noise, and the like.
