JOB SUMMARY:
The Human Resources Assistant / Receptionist supports daily HR and office operations while serving as a professional first point of contact for employees, visitors, and candidates. This role assists with recruitment and onboarding activities, maintains accurate employee records, supports meeting coordination, and processes administrative and expense documentation while managing the front desk and switchboard. The ideal candidate is organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
ESSENTIAL DUTIES & RESPONSIBILITIES:
• Provide administrative support to the Human Resources department, including assistance with recruitment and onboarding activities by preparing new hire documentation, coordinating schedules, and ensuring compliance with internal policies and procedures.
• Serve as the first point of contact for employees, visitors, and job candidates by managing front desk operations, greeting guests, coordinating check-in procedures, and enforcing safety requirements, including distribution of personal protective equipment (PPE) as needed.
• Answer inbound phone calls promptly and professionally, screen inquiries, and transfer calls to the appropriate personnel or department as needed.
• Responsible for making general announcements over intercom and assists HR in creating CDI flyers and memos as needed.
• Assist with the coordination of company meetings and events by ordering, receiving, and setting up food and supplies to support business operations and attendance needs.
• Maintain accurate and organized employee and administrative records through scanning, filing, and document management systems to ensure timely retrieval of information.
• Process and upload executive and administrative expense receipts into company expense management systems, ensuring accuracy and proper documentation.
• Support general office operations and provide additional administrative assistance to the Human Resources team and CDI President as assigned.
REQUIREMENTS:
• High school diploma or GED equivalent
• Strong written and oral communication skills
• 1–3 years of experience in a corporate and/or office environment
• Ability to multitask and effectively take direction from multiple team members
PREFERRED QUALIFICATIONS:
• Experience handling confidential information, including employee records
• Familiarity with HR processes and procedures
• Some college coursework or a recent graduate with an interest in pursuing a career in Human Resources
• Proficiency in Canva, Microsoft PowerPoint, and Microsoft Office Suite
• Bilingual
WORK ENVIRONMENT & POTENTIAL HAZARDS:
• 100% office environment with occasional exposure to the manufacturing floor.
• Some exposure to possible shop hazards including high noise and heavy machinery.
