Position Summary

The Human Resources Assistant serves as the primary front-facing representative of the HR and Talent Acquisition suite. This role is responsible for delivering professional, welcoming experiences to candidates, employees, and guests while providing comprehensive administrative and operational support to both teams 

 

Reporting directly to the Director of Talent Acquisition, (with a dotted line to the Director of Human Resources), this position supports the coordination of day-to-day work processes and ensures the smooth functioning of recruiting and HR office operations.

Key Responsibilities

Front Office & Candidate Experience

  • Serve as the primary point of contact for staff, candidates, and visitors entering the HR/Talent Acquisition suite
  • Greet and welcome candidates and employees in a professional, service-oriented manner
  • Manage front desk coverage, incoming calls, and general inquiries
  • Coordinate interview check-ins and notify recruiters or hiring managers of candidate arrival

 

Talent Acquisition Support

  • Assist with interview scheduling and coordination
  • Support pre-employment processing activities as directed
  • Maintain applicant tracking system (ATS) data accuracy
  • Assist with recruitment events, job fairs, and hiring initiatives

 

Administrative & Office Coordination

  • Coordinate day-to-day office workflow processes
  • Draft memos, reports, and routine correspondence
  • Organize, copy, file, and maintain confidential personnel and recruiting records
  • Track supply inventory and coordinate office materials
  • Support departmental reporting and documentation preparation
  • Perform  administrative and data entry duties related to workers’ compensation and safety reporting.
  • Perform additional administrative duties as assigned by the Department Leadership

 

Qualifications

  • Associate or bachelor’s degree in human resources, business administration, or related field or equivalent experience 
  • 0–3 years of administrative, customer service, or HR support experience
  • Strong interpersonal and professional communication skills
  • High attention to detail and organizational capability
  • Ability to manage confidential information with discretion
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with ATS and HRIS systems required. ADP Workforce Now preferred but not required

Compensation

Hourly Range: $22.00 – $26.00 per hour

 

Final compensation will be determined based on experience, qualifications, and internal pay alignment, in compliance with California pay transparency requirements.

 

This position is classified as non-exempt and eligible for overtime in accordance with California wage and hour laws.
