US Payroll + HR Specialist
Location: Remote (USA)
Position Type: Full-time, Permanent
Reports To: Senior Director, Human Resources
Salary: $60,000-$80,000

As our Payroll + HR Specialist, you’ll help ensure that our staff are supported through accurate payroll, thoughtful HR practices, and compliance across multiple states. This will support growth as our American operations look to expand significantly in 2026 and beyond.
You’ll work closely with both our U.S. and Canadian teams as a multifaceted resource, helping bring consistency, clarity, and best practices to a growing, multi-state workforce.
This is an ideal role for someone interested in providing direct support to frontline staff and business services teams as a subject matter expert. We are looking to support growth with a detail-oriented, systems-minded individual who is motivated by supporting teams doing meaningful work.
Payroll & HR Operations (60%)
Act as a trusted day-to-day point of contact for U.S.-based staff and managers
Process and support biweekly payroll in collaboration with the Payroll team
Manage SmartCompliance and tax reporting within ADP Workforce Now
Complete required federal and state reporting
Respond to payroll and HR-related questions with clarity, accuracy, and urgency
Support post-payroll processes (e.g., resolving failed deposits, unclaimed wages, stale-dated cheques)
Assist with HR matters, including leave management, policy interpretation, and employee support
Process Improvement & Scaling (20%)
Help shape and refine payroll and HR processes to support a growing workforce
Identify opportunities to improve systems, workflows, and documentation
Conduct periodic audits to ensure accuracy and compliance
Research state and federal requirements to strengthen internal practices
Compliance & State Support (10%)
Support state registrations and ongoing compliance requirements
Collaborate with internal teams to ensure we meet multi-state obligations
Cross-Functional Support (10%)
Provide support to Payroll, HR, and Finance teams as needed
Contribute to projects that strengthen operational consistency across North America

Certified Payroll Professional (CPP) designation
Experience with ADP Workforce Now strongly preferred
Strong Excel skills
Experience with Google Workspace tools
Familiarity with multi-state payroll and U.S. employment legislation
