Schedule: Full-Time, Monday through Friday, 8:30 am to 5:00 pm
Pay Range: $23.00 - $25.00 per hour, DOE

What You’ll Do: The Impact You’ll Make
As an HR Assistant, you will provide essential administrative and operational support to the Human Resources department. Your work will help ensure accurate HR recordkeeping, compliance with employment requirements, and smooth coordination of HR processes that support employees across the organization.

HR Administration & Recordkeeping
• Maintain accurate employee records in ADP Workforce Now and ensure required HR documentation is completed and properly filed.
• Perform HRIS data entry and assist with maintaining personnel files and compliance documentation.
• Manage outgoing HR mail and coordinate post office runs as needed.
• Provide administrative support to the HR team on a variety of HR-related tasks.

Compliance & Credential Tracking
• Track employee certifications and credentials, including CPR training and Food Handler’s Cards for Residential Aides.
• Monitor expiration dates and coordinate renewals or follow-up as needed.
• Ensure labor law posters are current and properly displayed at each agency location.
• Monitor auto insurance documentation for employees who drive as part of their job duties and follow up on expired policies.

Employee Lifecycle Support
• Assist with onboarding activities including preparation of materials and distribution of new hire items such as shirts, pens, and water bottles.
• Prepare termination packets and coordinate final documentation with Payroll.
• Issue Fair Chance Act correspondence to candidates who do not pass background checks.
• Maintain and update the Leave of Absence (LOA) tracker as needed.

Training & Operational Support
• Coordinate CPR training sessions, including assigning seats and ensuring adequate training capacity.
• Assist with internal employee recognition initiatives, including birthday cards and anniversary recognition emails.
• Provide front desk coverage when the receptionist is on rest or meal breaks.

What You’ll Bring: Your Qualifications

Education and Experience
• High school diploma or GED required; an associate or bachelor’s degree in Human Resources, Business Administration, or a related field is preferred.
• A minimum of two (2) years of Human Resources experience is preferred.
• A minimum of one (1) year of experience using ADP Workforce Now is required.
• Experience supporting nonprofit, behavioral health, or social services organizations is a plus.

Skills and Abilities
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication skills.
• Ability to manage multiple administrative tasks and maintain accurate records.
• Proficiency with Microsoft Office Suite (Excel, Word, Outlook).
• Ability to maintain confidentiality and handle sensitive employee information with discretion.
