POSITION SUMMARY
The Human Resources Coordinator for Optima Tax Relief, LLC (“Optima”) is located in the Santa Ana, California office and reports to the Human Resources Business Partner. This role must provide support in various HR functions, including administrative tasks related to onboarding, planning, and coordination of staff training, HRIS management, employee relations, and working closely with HR Business Partners. This role must also champion Optima’s culture and Core Values and help to deliver the best customer experience.


ESSENTIAL DUTIES & RESPONSIBILITIES
The essential functions include, but are not limited to the following:

  • Frontline resource within the HR department to address questions and provide support to employees.
  • Serve as main point of contact for employee questions and concerns submitted in the Ask Here system; reassigns as appropriate; escalates to HRBP's as needed.
  • Handle all pre-employment and new hire paperwork and I-9 documentation; enter new hire information into the required HRIS systems. Ensure completion of assigned new hire training courses.
  • Perform employment verifications for current and terminated employees.
  • Assist with employment-related actions in HRIS database; transfers, promotions, demotions, pay changes, and terminations.
  • Employee Engagement Champion: Coordinating Perfect Attendance Raffle and distributing awards; providing content for monthly company newsletter; participate with HR Business Partner’s for the monthly Partnership Summits with company leaders, etc.
  • Assist HR Business Partners in implementing HR programs and initiatives, including performance management, training and employee engagement.
  • Support HR data analysis and reporting.
  • Assist HR Business Partners with agency correspondence (unemployment claims, state wage order audits, workers compensation, etc.).
  • Processing pay advances, requesting final paychecks, coordinating separation meetings/exit interviews.
  • Assist with HR department projects and initiatives as needed.
  • Follow company protocols to ensure the highest level of security to protect the client Personal Identifiable Information (PII).
  • Perform other duties as assigned.

In order to be provided the essential training required to be successful in this role, it is mandatory that you are present for and complete all essential/initial training onsite for up to 5 business days (unless prior management approval is provided). Please note that additional onsite training may be required depending on business need.



Qualifications

EDUCATION AND EXPERIENCE REQUIREMENTS

  • Preferred Bachelor's degree in Human Resources, Business Administration, or a related field.

  • 1-2 years of experience in Human Resources, with a focus on employee relations and working with HR Business Partners.    

  • Proficiency in HRIS, with experience managing employee data.   

KNOWLEDGE, SKILLS,& ABILITIES

  • Excellent Organizational, Time-management, Written, and Communication Skills

  • Proficient and comfortable with office equipment (Computer skills – Microsoft Office, Outlook)

  • Ability to work in a fast-paced environment and handle multiple priorities.

  • Comfortable with excel spreadsheets, running reports and managing complex data to determine trends and compiling for various business units.

  • Strong Work Ethic and Commitment to Excellence.

  • Remain focused and productive in a fast-paced environment.

  • Technical knowledge of computer systems, interactions and function within the company to aid in risk-assessment and prevention of potentially harmful practices.
